What is PortalMEin?

Miciah and his team at Digital Data Designed have been hard at work for a while now, coming up with solutions to common problems that teams like yours face. Problems which ServiceM8 either doesn’t solve or just misses the mark on. Now, they’re putting these solutions together with a series of new one in a new platform called “PortalMEin”. The idea is to create a “portal” that lets you easily work with your ServiceM8 data and do things that you just can’t do with ServiceM8 alone.

What will it be able to do?

We developed PortalMEin using a rapid development platform, enabling quick and cost-effective solutions tailored to our clients' needs. As a small team, we focus on specific projects that clients want or commission us to build, allowing for faster delivery. By utilizing a unified platform, all data interacts seamlessly, unlike other add-ons that often can not interact, like Project Management and Purchase Order solutions. PortalMEin is built to resolve these issues, ensuring all aspects work seamlessly with your ServiceM8 data.

What types of solutions will PortalMEin provide?

Similar to ServiceM8, PortalMEin is a central solution to which there are different "add-ons" for that can be subscribed to and enabled. The core PortalMEin solution is the center point you need to subscribe to. It’ll do a lot on the first day, and we’ll keep adding new features over time. This includes editing virtually all data points from ServiceM8, but will also interact with PortalMEin Add-ons such as controlling which aspects of Job (such as a Note or an Attachment) are visible to Contact using the Customer Portal.

  • Customer Portal

    PortalMEin was designed with the primary objective of managing our Customer Portal solution. Every aspect of a project is visible within PortalMEin, and access to the Customer Portal by your clients is based on the email address associated with Contacts of a Job or related Clients.


    PortalMEin’s Customer Portal plans to offer multiple layout options, and custom layouts are also possible.

  • Route Optimization

    Stop sending your staff across town in a haphazard manner. Instead, optimize their Job Routes based on various factors to ensure maximum time utilization.

  • Advanced Form Tools

    ServiceM8 Forms are effective, but their simplicity can be problematic when dealing with intricate use cases, resulting in difficulty navigating the interface. Additionally, there is a desire for responses to trigger actions on Jobs, such as adding Line Items or Tasks.


    PortalMEin Forms will work seamlessly with ServiceM8 Forms, enhancing navigation of complex Forms, enabling response-based actions, easier asset functionality, and more!

  • Flat Rate Pricing Management

    PortalMEin will be able to coordinate Flat Rate Pricing from solutions such as Profit Rhino and Flat Rate Software, and import them into ServiceM8 while preserving their Category structure within our Material Selector solution.

  • Material Selector

    Identifying the appropriate material for a new line item within a job can be time-consuming in ServiceM8. Our Material Selector solution enables you to filter materials based on categories and sub-categories, and visualize the material with supporting image(s).

  • Client Pricing

    Numerous teams provide customized pricing and discounts to select clients based on various factors. Our objective with this solution is to facilitate a straightforward process for applying customized pricing to jobs for clients who have specified their pricing requirements.

  • Material & Job Item Images

    Have you ever desired the ability to visually verify the content you are adding to a Job to ensure its accuracy? Have you ever wished for supporting images to be displayed in Quotes and Invoices for your clients? PortalMEin has been designed to provide these long-standing requests!

  • Bulk Time Editor

    ServiceM8 facilitates the modification of Check-In Time Entries within a single Job. Additionally, it provides basic reporting capabilities for reviewing individual Staff Members’ entries over time. However, there is currently no efficient method to modify these entries across specified timeframes.


    In contrast, our Bulk Time Editor is specifically tailored for editing Check-In Time Entries while simultaneously viewing all entries within the requested timeframe.

  • Service Packages & Subscriptions

    Numerous teams have workflows that involve customers who prepay for services such as labor or consulting time, or who subscribe to services that will be executed at a later date. Our planned solutions that will simplify and streamline the management of these offerings.

  • Emergency Jobs

    During extreme weather events, numerous teams provide services to their subscribing clients (such as snow removal or hail damage checks). Our Emergency Jobs solution automates the generation of jobs for these clients with a single button press. Additionally, if another wave of weather strikes, new jobs will only be created if the previously generated job has been completed.

  • Project Pipeline Worklow

    Managing projects within ServiceM8 can be challenging. PortalMEin is designed to facilitate a pipeline workflow, enabling seamless progression of jobs as they evolve. Our strategy involves automating administrative tasks by triggering actions when a job is moved to a different pipeline.

    PortalMEin’s Vendor Portal offers a centralized solution for vendors to access Job Requests sent to them, accept and take action on all of them from a central portal.

  • Vehicle Portal

    If your team owns a fleet of company-owned vehicles, the PortalMEin Vehicle Portal provides a comprehensive solution for managing your fleet’s maintenance and service history. It offers complete reminders and checklists to ensure efficient and organized vehicle management.

  • Fleet Tracking

    Relying solely on device Location Services for Staff locations and Job Check-Ins frequently results in unreliable outcomes. This solution seeks to integrate with our industry-leading partner, providing GPS Location and Dashcam solutions. By integrating these solutions with ServiceM8, we can enhance Staff locations, improve Job Check-Ins, and leverage additional tools such as travel breadcrumb history and driving behaviors.

  • Inventory Management

    PortalMEin’s comprehensive Inventory Management System will provide a robust and fully functional solution to meet all your inventory management requirements. It will effectively maintain your inventory items that require inventorying, track your on-hand inventory, manage purchase orders, facilitate receiving, and coordinate job allocation and installation actions.

  • Advanced Quoting

    ServiceM8 Services are highly effective, but their utilization can sometimes pose challenges due to the evolving nature of jobs. Our objective with this solution is to replicate the ease of use of ServiceM8 Services while simultaneously enabling seamless functionality throughout the duration of a job’s lifecycle, ensuring that the job’s content remains unaffected.

  • Advanced Recurring Jobs

    ServiceM8 Recurring Jobs excels in its intended use cases, but it may encounter limitations in more intricate scenarios. Editing and updating substantial quantities of Recurring Jobs can be an excessively challenging endeavor. Our upcoming solution aims to address this by offering additional functionalities, simplifying the creation and modification of Recurring Jobs in bulk.

  • Workflow Dashboards

    Our primary objective within PortalMEin Dashboards is to construct workflow-specific dashboards, populating the requisite data to effectively execute a workflow’s requirements.
